Associate Director, Our Secure Future

Program Summary

Our Secure Future: Women Make the Difference (OSF) is a program at OEF. The OSF mission is to strengthen the Women, Peace and Security movement for more effective policy decision-making to create a more peaceful world. Primary Role

The OSF Associate Director will serve as an integral member of the OSF team and report directly to the Director of OSF.  The OSF Associate Director will work closely with the Director to implement and manage all program activities and provide support in the daily management of a dynamic team. 

Reporting to the Director and serving as an integral member of the OSF team, the Associate Director will be responsible for managing and assisting the Director with all program activities.  This is a key position for OSF and requires a person with subject matter expertise in the field of gender issues as well as management experience and superb organizational skills.   

The OSF Associate Director will have two primary areas of responsibility:

  • Administrative oversight and support to OSF Director
  • OSF Strategic Communications (external)

The OSF Associate Director will be responsible for organizing and assisting with all operations both within OSF as a program and for OSF as a program within the larger structure of One Earth Future. This includes overseeing activities pertaining to contracts, security, travel and other administrative duties. The strategic communications responsibilities include but are not limited to: liasing with the OEF communications team, OSF public relations, events, strategic planning integration, and other foundation operations that are required to effectively and efficiently support the program’s purpose.

In conjunction with the OSF Director, the Associate Director will be responsible for supporting the management of the annual budget and for ensuring that OSF’s services and funding are in compliance with all national, state, and city regulations, certifications, and licensing requirements. The Associate Director will also assist the Director in planning, organizing, implementing OSF projects in accordance with standards set by the Foundation.

Primary Responsibilities:

Management Responsibilities

  • Responsible for daily operations of OSF by overseeing and assisting with organizing the work of the team to help further the mission of the program and foundation.
  • Support the Director of OSF in the development of strategic goals, objectives, and overall management.
  • Responsible for effective implementation of initiatives of the program.
  • Maintain continuous lines of communication, keeping the Director informed of all critical issues.
  • Promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
  • Support the Director in monitoring staff and program performance and development goals.
  • Develop and implement recruitment, training, and retention strategies in collaboration with Human Resources.
  • Provide organizational administration of staff and company systems to enable OSF Staff to effectively carry out their job.
  • Develop and effectively implement a continuous quality improvement program throughout OSF focusing on systems/process improvement.
  • Promote regular and ongoing opportunities for OSF staff to give feedback and suggestions on OSF operations.
  • Ensure that all program activities operate consistently and ethically within the mission and values of OEF.
  • Support Director in preparing and submitting an annual operational budget for review and approval, manage effectively within this budget, and report accurately on progress made and challenges encountered.
  • Represent OSF externally as necessary.
  • Ensure the continued financial viability of OSF through sound fiscal management.  
  • Ensure the OEF security program for international travel is adhered to.

 

Strategic Communications Responsibilities

  • Have day-to-day social media implementation presence and work those relationships to grow online community, including Twitter, outreach, Linked-in.
  • Craft copy for, produce and edit blogs, and blog calendar.
  • Conduct press outreach.
  • Utilize existing media and press relationships as appropriate for OSF’s projects
  • Disseminate OSF’s major projects
  • Manage and grow OSF’s contact management database: Familiarity with Salesforce
  • Develop and maintain relationships with OEF’s internal communication department

 

Required Education, Knowledge, Skills and Competences:

This role requires a significant level of operational management, program implementation and research experience.  Specific requirements include:

  • Master’s in public administration, Management, or another relevant discipline.
  • Team player who also enjoys working independently.
  • At least 5-8 years of multi-national professional experience overall, with a minimum of five years of senior-leadership experience supervising a rapidly growing staff, operating multiple projects across a broad geography or multi-national area.
  • Demonstrated experience in creating and managing program reporting, tracking, and evaluation systems.
  • Demonstrated experience in turning strategic thinking into effective action
  • Familiarity with Mailchimp and using segmented lists
  • Project management skills are an absolute necessity. Ability to juggle multiple projects at once.
  • Demonstrated research experience, with exceptional writing skills and the ability to publish work.
  • Detail and performance oriented with a proven ability to manage projects, budgets and initiatives with multi-million-dollar budgets.
  • Strong relationship builder and communicator with experience collaborating with diverse work teams, developing and maintaining an organization-wide strategy for program excellence.
  • Demonstrates integrity, strives for excellence in her/his work, and has experience leading and inspiring others to new levels of effectiveness and programmatic impact.  
  • Demonstrated expertise and a significant body of published empirical research on topics related to the structure of global governance mission.
  • Superb organization skills.
  • Superb oral and written communication skills in English.
  • Ability to multi-task and prioritize workload in a fast-paced environment.
  • Ability to operate as an effective tactical as well as strategic thinker.
  • Ability to maintain a flexible work schedule.
  • Spanish or Somali language skills a plus

Physical work demands:

  • Able to sit at a computer for extended periods of time;
  • Able to bend at the waist and reach on a daily basis;
  • Able to lift and move up to 25 lbs. regularly.
