Full Job Description
If you have project administrative experience and are a creative problem-solver, you may be a fit for this role. There will be opportunity for growth, although this role is not a stepping stone to being a life coach or executive coach. We are looking for a tried-and-true Client Services Coordinator who is passionate about supporting team members and clients and understands the real value that administration plays in an organization’s growth. The ideal candidate will be a detail-oriented person who can juggle multiple tasks across many client engagements. This talented team member will also be comfortable with moving quickly, handling last minute requests and working both independently and on a small team. Successful project management and an administrative track record is required.
 
As a Client Services Coordinator you’ll apply your energy and resourcefulness to ultimately ensure a seamless, consistent, and extraordinary client experience. You’ll coordinate the project management and administrative aspects of coaching and training engagements across multiple clients and team members - from scheduling coaching/training sessions, to coordinating client meetings across busy schedules, and administering personality profiles. You’ll have to be a problem-solver, focused on process improvement while savvy with learning new technologies. The Client Services Coordinator reports to the Founder/President and works primarily remotely and occasionally in Boulder, Colorado.

Qualified candidates will have the following experience:

  • Extensive administrative and project management experience
  • 3-5 years office work experience
  • Home office set-up
  • Demonstrable Microsoft Office and/or Google Apps for Business skills
  • Embrace and easily learns new technologies
Responsibilities in this role include:
 
Administrative
- Complex calendar management
- Schedule coaching sessions and training workshops
- Schedule client meetings
- Mail documents, books, and other items to clients
- Summarize notes and workshop evaluations after a meeting or client offsite
- Respond to new client inquiries in a timely manner
 
Project Administration
- Track tasks, issues and updates within online Basecamp project management system
- Meet with client engagement team during key meetings
- Update project plan as necessary
 
Training/Coaching Coordination
- Build relationships with 5.12 Solutions team of trainers, coaches, and facilitators
- Schedule and onboard trainers and facilitators for client engagements
- Assist with development of client materials (participant workbooks, monthly measurement PowerPoint decks, etc.)
- Provide occasional onsite assistance during workshops and speaking engagements
 
Profile and elearning Administration
- Administer DiSC access codes for client engagements
- Administer 360 degree profiles using DiSC, The Leadership Circle, and other online tools
- Process requests for elearning courses and purchases of facilitator kits
- Utilize Coachmetrix, our proprietary technology, to track client action plans and feedback
