Firefly Partners is seeking a full-time Business Operations Manager to join our team of talented digital marketing experts, web developers, and designers in making the world a better place.
Firefly Partners, a marketing agency partnering with progressive nonprofits to meet their digital goals, is looking for a creative problem-solver to support a team spread across the United States. The ideal candidate will be able to work in our Boulder office, have experience collaborating with team members spread across multiple locations, and embrace the variety that comes with keeping a small agency running.

As the Business Operations Manager, your responsibilities will include, but are not limited to:
Financial Management
- Work closely with Firefly’s bookkeeper to maintain accurate financial records
In partnership with Firefly leadership, develop and maintain budgets, financial forecasts, and growth scenarios - Oversee the invoicing process, identifying and implementing efficiencies over time
- Manage the tax planning and preparation process in coordination with Firefly’s accountant and President
Human Resources
- Fairly and consistently administer HR policies and procedures across the company
Maintain a strong relationship with Firefly’s HR consultant and act as the primary point of contact for all HR-related issues - Maintain accurate employment records and personnel files in Firefly’s HRIS
- Facilitate the selection and open enrollment period of benefits
- Coordinate and provide guidance on the performance review process
- Manage the hiring process for all open positions including promoting positions, scheduling, tracking the status of candidates, and preparing offers
- Manage the onboarding and offboarding of team members, including complying with federal, state, and local rules and regulations.
IT / Infrastructure
- Maintain Firefly’s hardware, software, and subscription accounts
- Act as primary point of contact for resolving technology issues independently or with the help of vendors
- Establish and execute appropriate database backups and data security processes
- Administer Firefly’s written information security policy
- Maintain relationships with technology vendors
- Identify ways in which technology can make Firefly more effective and efficient
Administration & Reporting
- Provide support to the sales team, including maintaining contact records, drafting agreements, and setting up projects for initiation
- Manage the contracting process with clients, vendors, and independent contractors
- Maintain accurate state and employment accounts for all Firefly locations
- Prepare correspondence, process forms, approve invoices, and process expense for reimbursement
- Prepare financial, HR, sales, and other reports for Firefly leadership
- As needed, manage logistics (e.g., travel, lodging, food) for events, client meetings, and staff retreats
What You’ll Bring:
- At least four years of professional work experience, specifically agency operations
- At least two years of professional experience in human resources
- Command of Microsoft Office suite
- Working knowledge of QuickBooks
- CRM Experience (e.g., Salesforce, Hubspot)
- Superior organizational skills and attention to detail
- Ability to manage multiple priorities and work to deadlines
- Excellent verbal and written communication skills
- High level of interpersonal maturity, professionalism, and discretion

The salary range for this position is in the $50s, depending on experience. Firefly offers a competitive benefits package including:
