DUTIES & RESPONSIBILITIES
Concert & Event Operations
- Responsible for all elements of concert/event operations, including but not limited to:
- Setting up and managing Box Office and ticketing software
- Manage ticketing/booking CRM process; collect data before, during, and after all concerts/events
- Record number of attendees using physical counters for marketing
- Analyze and record all data, to be used later in funding/grants
- Scheduling and Managing all needed Volunteers
- Scheduling other support staff as needed
- Coordinating event details with venues as needed
- Coordinating with all concert/event sponsors
- Prepare/Support all concert announcements
- Manage all guest artist hospitality
- Assist with distribution/collection of sheet music
- Greet/Goodbye presence at all concert/events
- Manage pre/post concert activities; i.e. VIP/Sponsorship receptions and pre-concert talks with Conductor
- Supervise room/stage set-up and breakdown process
- Control operations expenses and deliver within budget guidelines
- Assists with and attends all rehearsals, concerts and events
- Schedules musicians auditions and manages auditions annually
- Communication & Administrative Duties
- Maintain and distribute master concert/event calendar
- Maintain and distribute rehearsal schedule
- Prepares Operations & Volunteer Review for Board in conjunction with Conductor
- Collect and confirm monthly musician attendance
REPORTING RELATIONSHIP
Reports directly to the Board of Directors/Artistic Director
As organization grows, position will report to Operations Manager/ED
QUALIFICATIONS
- Ability to organize own work, coordinates projects, set priorities, meets deadlines and follows up with minimum direction.
- Ability to work as a team member with a positive, helpful attitude in developing creative solutions to needs and issues.
- Ability to work and communicate effectively with other people exhibiting excellent written and verbal communication skills
- Ability to exercise sound judgment with established guidelines.
- Ability to solve problems and deal with a variety of variables.
- Frequently required to stand, walk, stoop, kneel, and move equipment. May be required to lift and/or move up to 40 lbs.
- Working knowledge of theatre/symphony operations is a plus.
- Ability to work flexible hours/schedule that includes M-F, Saturday, Sunday, early morning or evening hours as well as holidays.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel) or similar.
- Professional appearance and presentation.
- Ability to work with confidential data and information.
- Excellent customer service skills and commitment to customer satisfaction.
- Interest in arts/orchestra operations and management required.
- Understanding/specific knowledge of symphony structure, knowledge of music, and artistic event operations is a plus.
- Minimum of 2 years arts and/or symphony past experience is required.
- High School Diploma or GED required.
COMPENSATION
Position will be compensated per concert series, which includes:
- 1-4 rehearsals and 2 performances
- $1,500+ compensation based on qualifications and complexity of series
- 4 concert series this season
- Hours required will differ for each series depending on program needs
- Estimated hours/series 10 – 30
*Additional administrative duties with applicable compensation, if qualified.
