Full Job Description

The Executive Legal Assistant will be responsible for multiple legal administrative tasks, supporting the Sr. VP & General Counsel, Senior Corporate Counsel, and Associate Corporate Counsel.

 Essential Job Duties:

  • Provides legal assistant support to General Counsel and Corporate Counsel.
  • Organize and maintain department filing systems including confidential data.
  • Maintain hard-copy and electronic records of all contracts and other legal documents as directed by General Counsel and Corporate Counsel.
  • Maintain calendar of deadlines contained in contracts and follow up with appropriate owner of the deadline.
  • Coordinate domestic and international travel, including ensuring all international travel documentation is secured in a timely manner.
  • Act as point of contact for outside legal services and outside legal counsel.
  • Coordinate with executive team to manage and maintain a calendar of events.
  • Accurately maintain a real time calendar of events.
  • Schedule meetings and appointments, as well as prepare and distribute meeting materials.
  • Coordinate and assist in preparation of materials and presentations for executive meetings.
  • Draft letters, memos, and compose correspondence relating to legal, executive, and shareholder communications.
  • Handle confidential and non-routine information and facilitate communication between appropriate people and teams.
  • Manage and appropriately route potentially sensitive incoming calls (media inquiries, consumer complaints, etc.)
  • Maintain corporate books and complete and file according to company standards.
  • Provide exceptional customer service over the phone and in person to our visitors, customers and internal departments.
  • Other projects as assigned.

 

Job Qualifications:

Education/Experience:

  • Bachelor’s degree strongly preferred.
  • Experience in law office setting or in-house legal department setting preferred.
  • Knowledge of legal processes and practices, and familiarity with basic legal concepts and terminology.
  • Notary Public, or willingness to become a Notary Public.
  • Experience with general office equipment such as telephone, copy machine, fax machine, calculator, computer.
  • Ability to speak, read, write, and communicate effectively with all levels of personnel and with people in the community.
  • Experience in solving increasingly difficult problems with diplomacy, taking appropriate corrective action, and recommending improvements.

Skill/Ability:

  • A high comfort level in managing a significant number of projects in a fast-paced, team-oriented environment - with a positive attitude and a sense of humor.
  • Highly proficient with Microsoft Office (Word and Outlook most important) and other office productivity tools.
  • A proactive approach and the ability to think ahead and anticipate problems before they arise
  • Ability to maintain a high level of business etiquette in receiving and interacting with visitors and board members.
  • Possess excellent written and verbal communication skills necessary to interact with personnel at all levels within and external to the company.
  • Ability to coordinate, analyze, observe, make decisions, and meet deadlines in a detail-oriented manner.
  • Strong Self Starter attitude with the ability to manage day-to-day activities and responsibilities independently without direct management, oversight, and guidance.
  • Willingness to support various ad hoc requests.
  • Organized problem solver with sound judgment and decision-making experience.
  • Exceptional judgment and discretion in maintaining a high degree of confidentiality.
