Assistant Controller

Primary Role:

The Assistant Controller will be responsible for a variety of accounting tasks involved with a growing non-profit organization. This position will have responsibility for the organization’s treasury, auditing schedules, payroll and AP oversight along with other accounting and managerial duties. The company is based in Colorado but has several offices in Colombia, Somalia, and Austria.

Compensation:

The hiring range for this position is $95,000 - $100,000 annually

This position is located in Broomfield, Colorado and will be remote as necessary during the COVID pandemic. 

Primary Responsibilities:

The Assistant Controller is responsible for all areas of general accounting and financial reporting for the company. This position will be responsible for developing and maintaining accounting principles, practices, and procedures to ensure accurate and timely financial statements. The Assistant Controller will supervise a team of accountants to ensure that work is properly allocated and completed in a timely and accurate manner. This position addresses tight deadlines and a multitude of accounting activities including general accounting, financial reporting,and supporting budgeting and audit activities. Strong management, technology and accounting skills will be key in this role. The Assistant Controller will have contact with people at all levels of the company, which requires clear, organized and focused interpersonal communication skills, both written and verbal.

Specific Responsibilities & Duties: 

Accounting

  1. Ensures an accurate and timely month-end close process; review balance sheet reconciliations; troubleshooting, follow-up on outstanding items and clearing of open items every month, and close within 10 days.
  2. Understanding of GAAP (IFRS a plus) and how to apply guidance to a nonprofit.
  3. Manages and maintains the chart of accounts and project tracking in ERP.
  4. Develops, documents and trains on processes and procedures for multiple locations to ensure internal controls are strong.
  5. Determination revenue recognition based on contract requirements, applying ASC606 and other revenue guidance.
  6. Assists in the preparation of monthly, quarterly and annual financials to be provided to management and investors.
  7. Proactively review aging reports with the team.
  8. Assist with special projects, responds to inquiries from managers in a timely manner.
  9. Review of grants and contracts to identify financial reporting requirements at the time of grant awards, set up grants in accounting system, track due dates, and submit reports on time in compliance with ASC606.
  10. Oversee the coordination with programs to ensure financial information related to grants are accurate, timely, and responsive to grant guidelines.
  11. Maintaining current systems or implementing systems needed to implement new agreements.
  12. Training accounting and program staff on the elements necessary to track expenses to the budgets.

Audits/taxes

  1. Ensure reconciliations and schedules for audits are prepared in advance, gathering source documentation and coordinating testing as needed.
  2. Respond to audit requests and organizing source documentation for audit.
  3. Prepare schedules for tax preparation including oversight on expenditure responsibility forms.
  4. Prepare documentation for FBAR filings.

Payroll

  1. Oversee payroll processing in all countries.
  2. Review the payroll register and quarterly reports.
  3. Review payroll reconciliations to the general ledger.
  4. Oversee the reconciliation of vacation, sick accruals, and FSA accounts.
  5. Oversee the timely follow up on employer tax-related notices.

Accounts Payable

  1. Review and approve AP, employee reimbursements, credit card and cash reconciliations.
  2. Approve vendor set up in the accounting system to ensure accurate and timely 1099’s at year end.
  3. Assist program management with understanding accounts payable procedures, ensuring proper processes are followed for approvals.
  4. Ensure the filing invoices and receipts is organized and continuously up to date.

Management of team

  1. Works with each direct report to establish quarterly goals and objectives, monitors performance goals, identify areas of improvement, and coaches & develops staff accountants, makes recommendations for promotions or replacement of staff.
  2. Trains new and existing team members.
  3. Monitors and analyzes work to develop more efficient procedures while maintaining a high level of accuracy.

Requirements:

  1. Possess sound judgment along with a high level of integrity, confidentiality, and dependability.
  2. Ability to work under pressure, with multiple priorities and meet the deadlines is required.
  3. Willingness to learn requirements in various countries.
  4. Bachelor’s degree in Accounting or a related field.
  5. 5+ years of accounting experience that includes financial reporting and general ledger closing.
  6. 5+ years in an accounting management role.
  7. Review and implementation of internal controls, processes and procedures.
  8. Extended working hours required, mainly during month end close and audits.
  9. Ability to determine and document policy and processes, and present at company wide meetings as needed.
  10. Understanding of GAAP (IFRS a plus), experience researching and implementing new pronouncements.
  11. Solid understanding of internal controls.
  12. Working knowledge of labor laws and payroll processing in the US.
  13. Positive attitude and high degree of business acumen.
  14. Highly proficient in Excel including ease in using vlookups, pivot tables, and nesting formulas.
  15. Tech savvy
  16. Excellent problem-solving ability and creative skills to adapt to a changing, growing environment.
  17. Relates well to many types of people and can build rapport in a friendly, constructive and effective way.
  18. Takes initiative and is able to work independently with minimal supervision.

Preferred Qualifications:

  1. Large ERP experience, Dynamics GP, Paycom, report writer software
  2. Spanish or German speaker
  3. Software implementation experience
  4. CPA

Physical Work Demands:

  1. Able to sit at a computer for extended periods of time.
  2. Able to bend at the waist and reach on a daily basis.
  3. Able to lift and move up to 25 lbs regularly.
