Our Office Manager will organize and coordinate office administrative activities and procedures to ensure organizational effectiveness and efficiency. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, freelancer supervision and task delegation.
As executive assistant to the CEO, this person will generally ensure the smooth-running of the office, working closely with the internal team and external clients.Â
We are looking for an energetic professional who doesn’t mind wearing multiple hats. He/she must be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. She/he must be well organized, flexible and enjoy the administrative challenges of supporting an office of high energy people.Â
Responsibilities:
- Scheduling meetings, booking conference rooms and setting up for presentations
- Project coordination and contractor communication
- Sending thank you / appreciation gifts for referrals, holidays, and client appreciation and tracking what we sent and to who
- Coordinating and executing company retreats and customer appreciation events
- Managing database and email list
- Managing client onboarding and offboardingÂ
- Building out monthly email newsletter in Hubspot
- Drafting presentations and scopes of work
- Proofreading deliverables and copyediting
- Making travel arrangements
- Taking notes during meetings and managing meeting transcripts
- Maintaining current filing systems
- Always looking for ways to improve current systems
- Logging expenses in Quickbooks and basic bookkeeping
- Research on marketing tools, competitors, etc.
Requirements:
- Proven work experience in office administration or as an executive assistant
- Sharp attention to detail
- Flexible and easy to work with
- Proactive and takes initiative
- Process oriented
This is a full time salaried position.
