Are you known for your attention to detail, organization, thoroughness in event planning, and incredible follow-up skills? Are you tech-savvy and do you frequently use software to create efficiencies? Do you thrive on making a valuable contribution internally, anticipating needs, and providing solutions, and generally facilitating the success of the executives you support while providing their clients with a phenomenal customer experience?

If so, and if you’d like to make a long-term home and meaningful contribution working flexibly, primarily remote (aside from some meeting setup), and part-time as a highly valued Executive Assistant, you might be a great fit for this opportunity.

What you can expect from Don:

  • Ability to work flexible hours (approximately 1-3 hours per day, Monday-Friday – usually averaging 10 hours per week)

What Don will expect from you and what you’ll be doing:

  • Using your organization and attention to detail to manage Don’s calendar in Calendly and Apple Calendar
  • Leveraging your tech-savviness to create efficiencies with software wherever possible
  • Planning and organizing events. This includes ensuring there are speakers, locations, hosts, and materials for each of 5-6 monthly all-day Vistage meetings and setting up for those events, greeting members, and closing down those meetings. It also involves planning several holiday parties and other events. 
  • Scheduling, coordinating, and onboarding Positive Intelligence pod members into the 6-week program, managing membership in the online application, sending invoices, and ensuring payment is provided
  • Monitoring email, handling member requests, following up as needed and ensuring all requests are resolved quickly
  • Proactively anticipating needs with an innovative, flexible, creative, and resourceful mindset, and self-motivation
  • Other duties as assigned

Requirements

  • Minimum of 3 years supporting executives in an administrative role, preferably remote as a Virtual Assistant
  • Event planning experience
  • Strong computer proficiency and ability to learn new software very quickly and independently
  • Authorization to work in the US
  • Some college preferred (but not required)
  • Local candidates only (since some meeting setup / takedown is required)
  • Ability to obtain an EIN, maintain a separate bank account, and do similar work for other businesses (to comply with IRS regulations for contractors)

This is a part-time, contract (1099) position to be performed remotely 8-15 hours per week, depending on needs.
