Little Secrets, LLC was founded in 2015 by Chris Mears, a veteran of the natural products world, with the mission to create the next iconic chocolate brand in Colorado. We are passionate about making mind-blowingly delicious, premium chocolates. We are distributed nation-wide, and are experiencing significant expansion in 2021.
The Customer Service Manager will be a critical addition to our small team and is a full-time position. We are looking for someone to provide world-class customer service while embodying Little Secrets’ culture and dedication to consumer and stakeholder satisfaction. Because we are a small company, this role must work cross-functionally and will be tapped to do tasks outside of the scope of their key responsibilities. This position will report to the Operations Manager and is an opportunity to get in on the ground floor with an experienced team in a mid-stage startup.Â
Key Responsibilities
- Customer order management Â
- Enter customer POs into QuickBooks upon receipt
- Send POs to our 3PL for processingÂ
- Timely and professional communication with buyers and our sales team on any PO changes (shorts, changes in delivery ETAs, etc)
- Send invoices upon ship ensuring accuracy of BOLs
- Maintain EDI compliance with individual customers
- Weekly reporting to the team on monthly sales pacing and new orders received
- Run various sales vs. inventory reports as needed
- Inventory management
- Manage receiving discrepancies from customers and aid the deductions team as needed
- Manage all Over/Short/Damages and returns from customers to our 3PL - work with Operations Manager on logistics
- Manage all display builds, repacks, and relabels at 3PLÂ
- Manage DTC and Marketing/Sales Samples inventories at Little Secrets HQ
- Support Marketing with swag and POS inventory
- Office Shipments SupportÂ
- Backfill for eCommerce and samples shipping as needed
Who You Are
- Proficient with MS Office Suite (Excel, Word, Powerpoint)
- Exceptional organizational skills, with strong attention for accuracy and detail
- Exceptional verbal and written communication skills
- Highly self-motivated, eager to take initiative
- Team oriented, collegial, and collaborative
- Flexible and adaptable when facing changing priorities in a fast-paced environment
Required Qualifications
- Bachelor’s degree OR equivalent experience in business or related field
- 1-3 years of industry experience, preferably at a startup/small company
Preferred Qualifications
- Experience with Quickbooks, SPS Commerce, and Shopify
