GENERAL DESCRIPTION:

NCSL’s Denver-based Children and Families Program seeks a program coordinator with proven administrative skills. If you like to be at the center of the action and have a successful history of providing general office support, we’d like to hear from you. The ideal candidate will have considerable experience coordinating travel and events, purchasing and expense tracking, data entry and retrieval, and updating web content, all with minimal supervision. If you also have experience with budgeting and grant administration even better. The position reports to the director of the Children and Families program, while also handling assigned functions from other staff.

This position is responsible for contributing to a culture of program innovation and excellence and ensuring NCSL’s work is completed in an objective, neutral and nonpartisan manner.

RESPONSIBILITIES AND EXPECTATIONS:

  1. Performs clerical tasks, including writing, editing and formatting documents and other communications; data entry and retrieval; scheduling and task management.
  2. Supports meeting planning, including correspondence with members, site planning, travel arrangements, communication with participants, virtual and on-site support, and expense reporting.
  3. Coordinates and/or provides technical support for in-person and online meetings and webinars.
  4. Acts as a liaison to legislators and legislative staff, vendors, other NCSL programs and external organizations.
  5. Provides exemplary member service, including managing inbound and outbound communications with members.
  6. Coordinates hiring processes, including scheduling interviews and administering skills assessments.
  7. Trains and supports other staff with organizational processes and computer applications.
  8. Makes and/or coordinates content updates on NCSL.org.
  9. Produces internal reports.
  10. May compile budget and expense documents and assist in the preparation of proposals and reports.
  11. Performs other responsibilities as needed.

SUPERVISORY RESPONSIBILITIES:

This position has no direct supervisory responsibilities.

WORK ENVIRONMENT:

This position is a mostly performed in an office environment with prolonged periods of sitting at a desk and working on a computer.  The incumbent will utilize standard office equipment such as copy machines, laptops, printers, scanners, and smartphones. Travel by airplane, including overnights and weekends, required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

QUALIFICATIONS FOR SUCCESS:

  • High school diploma or its equivalent, plus five years of progressively more complex administrative experience.
  • Proficiency in computer-based clerical functions, including Microsoft Office and an ability to learn new procedures and applications.
  • Ability to communicate clearly and professionally in writing and orally and discretely handle sensitive information.
  • Experience working independently and collaboratively as circumstances dictate.
  • Proficiency with simultaneously managing multiple tasks and deadlines. 
  • Competency working under deadline pressure and adapting to changes in workload.  
  • Superior customer service and organizational skills with strong attention to detail.
  • Creative thinking and problem-solving skills.
  • Ability to travel by air approximately 5 times per year, generally for 1-3 nights.
