The Donor/Investor Communications Administrator is an integral part of the small yet highly effective and skilled team of professionals who are driven by our mission and impact. Capital Sisters is headquartered in Golden but its staff works primarily in a virtual office environment. This position provides ample flexibility and opportunity for someone who thrives in a mission-driven remote setting!

The Donor/Investor Communications Administrator reports directly to the CEO and is responsible for providing important operational and field building support. The role serves as the primary intersection point for all donor and investor communications to ensure every contribution is met with gratitude in a timely manner. This individual will be responsible for documenting and tracking all donor and investor touch points, maintaining communications templates, and working with the CEO to be sure the communications are coordinated. Whereas the CEO manages the majority of the relationships, this individual will have some direct contact with donors and investors as needed.

This job will require 30 to 40 hours a week, including a 4-6 hour meeting at the office (or virtually) once a week to collaborate with team members and stay on top of business activities. The nature of the organization’s activities are seasonal, hence during slower periods (summer), this meeting may take place every other week and during peak times (fall-winter), the meetings may be more frequent. Employees set their own regular schedules, which can be designed to be accommodating and flexible. It is management’s goal to plan workloads in a way that minimizes any disruptions for team members and their families – prioritizing personal needs wherever possible.

Specific deliverables include:

  • Oversee and organize all donor/investor transactions as they happen to ensure COORDINATION AND TRACKING of deliverables.
  • Keep the Salesforce database updated for donors, investors, industry contacts, and other supporters.
  • Send our mass electronic mailings using MailChimp – announcements, invitations, newsletters, etc. and assess the analytics after the fact.
  • Periodically produce Donor/Investor Status Reports from Salesforce to facilitate any upcoming meetings or communications.
  • Periodically produce Salesforce reports for management to track donor and investor engagement and activity.
  • Reach out to donors/investors in special cases to confirm personal information and/or contact details.
  • Build relationships with donors/investors by helping to address questions as they arise, and periodically research unknown donors to determine connection.
  • Help to merge, format, and send Client Investment Reports to investors.
  • Manage investor documents and track reinvestment preferences as bonds mature.
  • Facilitate contacts for the year-end letter by producing mailing labels and a mailing tracking sheet.
  • Assist in the year-end mailing process which includes having the letter printed and helping to assemble the letter, brochure, and Donor Card/Envelope.
  • Produce a “Call List” from Salesforce to thank donors on a monthly basis and during the year-end campaign – with their name, donation summary, and phone number.
  • Organize logistics for our House Parties – from the invitation, map, and RSVPs, to host gifts, name tags, and sign-up sheets, to any thank you notes/tax letters related to the events (COVID permitting).
  • Help support our field partners with basic logistics for any field trips they organize for our supporters – such as sending notices, tracking participant interest, and recording attendance (COVID permitting).

Qualifications

Capital Sisters International is looking for a dedicated and enthusiastic individual with the following characteristics:

  • Superb attention to detail to maintain our strong reputation for accuracy and quality;
  • Robust copywriting and proofreading skills;
  • Experience working with clients, donors, and/or investors in either a nonprofit or commercial setting. Proven customer service skills and/or marketing skills may also fulfill this requirement;
  • Highest degree of integrity and respect for confidentiality of information;
  • Self-motivated team player who works well in a small but collaborative and fast-paced environment;
  • Strong research and critical thinking skills and ability to grasp big-picture concepts;
  • Comfortable with technology and proficient with MS Office; experience with WordPress, Salesforce, and MailChimp are not required but would be excellent;
  • Intrinsically motivated, ability to juggle and prioritize tasks across the organization, and a person who meets deadlines.

Compensation & Benefits
Target base pay: $22-$30/hr, depending on qualifications and experience. Capital Sisters offers a robust vacation, holiday, and flex-time policy in addition to health benefits and parental/family leave.
