FULL JOB DESCRIPTION:
Summary
Teakoe is a lean but nimble start-up seeking an Administrative and Marketing Assistant to collaborate with all departments within our business, participating wherever necessary to ensure smooth, efficient operations. Our ideal candidate has a wide range of applicable skills, from strong computer proficiency with office productivity suites, to attention to details with data entry tasks and creative marketing experience. In this role, you may juggle multiple projects simultaneously, necessitating time management, multitasking and organizational skills. You should have a thorough knowledge of our product and service offerings, and prior administrative experience is a strong plus.
We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multitask, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, organized and creative. Assuring a steady completion of workload in a timely manner is key to success in this position.
Key Responsibilities
- Collaborate with the production team, sales team and finance team to assist with daily business operations including data entry, training, scheduling, performance improvements and work efficiencies
- Multitask across multiple projects, prioritizing as necessary to ensure success
- Assist with creating presentations, documents, files, spreadsheets and databases
- Develop creative marketing content and strategies
- Manage company records including sales orders, purchase orders and human resources
- Coordinate company meetings and events
Admin responsibilities :
- Manage communications in order to handle inquiries and/or delegate to the appropriate person
- Update reporting for each department in the form of data entry
- Compile reports and distribute to relevant departments
- Proofread and provide feedback on reports, presentations and client-facing materials
- Contribute to the creative development of social media content and E-commerce marketing strategies
With the Production Team :
- Help plan, organize and communicate production schedules
- Monitor sales orders and supplier relations
- Communicate with production team to stay updated on inventory levels and upcoming production in order to inform the team and customers
- Assist production manager with any necessary tasks
With our Finance team :
- Compile and review financial reports including data entry, historical trends and sales and cost forecasting
- Accounts Receivable : send invoices, statements, process payments and communicate with our customers in order to maintain Days in AR expectation
- Accounts Payable : enter bills and expenses
- Assist finance team with organization and communication of customer and supplier accounts
With our Sales Team :
- Field inquiries and correspond with online sales customers
- Manage platforms and communications with distributors
- Proactively recommend improvements to increase sales performance
- Keep updated on industry trends and consumer market
- Create marketing communications and social media posts
Candidate should have :
- Excellent verbal and written communication skills
- Strong typing, data entry, computer and organizational skills
- Proficiency in Microsoft Office / Google Suite applications
- Experience in a business work environment preferred
- Knowledge of the industry and market trends
- Strong business acumen
- An eye for attention to detail
- Ability to work effectively in a fast-paced environment
- Exceptional analytical skills to sift through high volumes of data
