THE ROLE
We are hiring an Executive & Marketing Assistant to report directly to our Executive Director and Director of Marketing. This entry level position has two primary responsibilities, with the potential for growth in this start-up environment. We are looking for someone pursuing a career serving the land and farmers, a storyteller, and an organizer at heart with an attention to detail and follow through. This role is based in Boulder, CO.Â
RESPONSIBILITIES
70% of the Time: Executive AssistantÂ
The administrative assistant will work directly with the Executive Director to support day-to-day needs.Â
- Manage the Executive Director’s calendar, including scheduling meetings and prioritizing sensitive and urgent matters in a timely and professional manner.
- Help manage donor relations, including CRM management using Salesforce and basic grant reporting.
- Help create and distribute digital and physical newsletters and reports to help grow our community of funding partners.Â
- Tasks vary from coordinating speaking engagements, to travel coordination, to assisting with special projects.Â
- Coordinate minimal office management logistics. Mad Ag has a small office on Pearl Street, so weekly supply checks, mail management & more will be required.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the ED, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect ED’s style and organization policy.
- Help coordinate and execute team meetings and retreats.
- Provide limited operational support, including invoice fulfillments, office account management and more.Â
- Translate high level action items to the Executive Director in a timely manner.Â
30% of the Time: Content Creator
The Marketing Assistant also reports directly to the Director of Marketing
- Excellent writer with the ability to write in Mad Ag voiceÂ
- Content includes sharing farmer stories, company values and research project outcomes
- Manage social media publishing calendar (through Hootsuite)
- Maintain and eventually produce content on social media accounts, including Facebook, Instagram, LinkedIn, Medium and Twitter.
- Update website using Squarespace regularly
- Execute thorough content quality assurance, ensuring grammatical and spelling accuracy, strong writing and compelling photos.
- Manage E-commerce flow for Mad Ag Hats & Journals (inventory, distribution, etc.)
- Provide occasional event coordination support.

- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.
- Ability to make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks independently.
- Flexible and responsive in a fast-paced environment.
- Capacity to handle complexity calmly and efficiently.
- Loves to get stuff done and manage long, diverse To-Do lists.Â
