Executive Assistant & Office Manager

Summary:

This position is responsible for supporting the President & CEO, Vice-President of Sales, Executive Vice President, and our Board Chairman.   The successful candidate will have a proven record of being a creative, hands-on problem solver and taskmaster.  This position’s primary responsibilities are to support the four executives travel and meeting schedules and tend to their daily support needs. This position requires extensive experience and good judgment as well as a superior work ethic and organizational skills to plan and accomplish goals.  Meeting planning & logistics experience is a must.  This person will also serve as the Office Manager.  Successful experience as an Office Manager is required.  The ideal candidate will be a self-starter, have a commitment to learning, strong problem-solving skills, effective and clear communication abilities while maintaining strict confidence about Executive’s deliberations and decision making.  This individual will be highly flexible and creative, with both the ability and drive to effectively assist in the company’s success.

Essential Skills:

  • Proactively perform administrative duties for the CEO and other company executives.
  • Keep the executive’s calendars, including scheduling meetings, appointments and making travel arrangements.
  • Coordinate and execute the corporate insurance program renewals.
  • Direct and oversee the fleet management program with regard to acquiring and managing our corporate vehicles.
  • Act as an intermediary and coordinator to ensure cohesion and great communication between departments by assisting with project management for projects that are linked between multiple departments.
  • Maintain notary status and act as a notary for the company.
  • Prepare correspondence, legal documents, spreadsheets, expense reports, PowerPoint presentations, etc. Maintain our corporate contract library and assist with documentation needed for new vendors.
  • Prepare and organize reports, sensitive agreements, and confidential information.
  • Prepare meeting agendas, take minutes at staff meetings, and other executive meetings.
  • Plan & setup various meetings/events, including making all reservations & addressing all logistical concerns from decorating to entertainment and food.
  • Partner with the HR Department to book travel and venues to facilitate interviews, team building events, wellness events, etc.
  • Assists in creating company-wide communication, including emails, letters, and related company
  •  
  • Interacts with the Board of Directors. This includes coordinating board calls and related meetings including the preparation of materials and related communication.
  • Primary liaison with our corporate office landlord as well as our offsite research and development facility landlord. Manage all office support issues.
  • Maintain and coordinate office decorum.
  • Maintain strict confidentiality regarding the executive suite.

Qualifications & Requirements:

  • A college degree is preferred with ten years’ previous experience supporting a high-level executive and several years of managing an office.
  • Strong organization skills with the ability to work effectively and proactively with a minimum of direction and juggle multiple demands simultaneously.
  • Strong communication and people skills are required. Effective interface with Horizon customers, and all internal department personnel and senior management is essential.
  • Proven ability to handle multiple projects simultaneously with strict attention to detail while maintaining professionalism and meeting deadlines.
  • Extensive experience with Event Planning management.
  • Complete proficiency with Microsoft Office including Word, Excel, Outlook, and PowerPoint.
  • Proficient with various technologies and platforms applicable to the company and the role.
  • Ability to work with sensitive materials and maintain confidentiality.
  • Highly ethical individual with a focus on delivering results and making a positive impact on the workplace.

Classification:                   Exempt / Salary, paid bi-weekly, benefits eligible

Compensation & Benefits
Compensation - $80,000 - $100,000. Benefits include, but not limited to, medical, dental, vision, company paid life and disability, 401k with company match, gym membership reimbursement.
