About this role
The Operations Associate is responsible for managing the processes and systems that support our programs, relationships, and events activities and teams. This associate will work directly with our entire team on quality management of the office activities, general operations, and compliance with company policies. This role will ensure the rest of the staff has adequate support and access to resources that promote efficiency, high performance, and contributes to sustainable growth.
This position is in our Boulder, Colorado office and is not virtual or remote.

What you might do in a day
Organize and evolve the new employee onboarding process and materials with input from the staff, recent hires, and the exec team. Research and implement the best Salesforce plugin to support our volunteer recruitment efforts including training internal staff. Set up dashboards and reports so the relationship team can more easily access the most important information pertaining to recent donor activity. Drop off a check at the post office and pick up a mailing order at the printer. Work with the Chief Relationship & Community Officer to organize a Salesforce pipeline that prioritizes donors and opportunities based on giving capacity, referral network, urgency, level of interest, and other key variables. Support our Glass Half Full fundraising event including hauling supplies, registering attendees, and helping with guest requests. File the required documentation with the State of Illinois to maintain our 501(c)3 status. Manage the logistics and execution of our annual planning meeting including booking a venue, ordering meals, fine-tuning the IT needs, etc.

Responsibilities include:

  • Performing Salesforce system administration, training staff on Salesforce products, and maintaining databases.
  • Ensuring optimal performance of Salesforce and integration with other systems.
  • Performing database maintenance tasks, including diagnostic tests and duplicate entry cleansing.
  • Managing and generating mailing lists to ensure proper communications to our community.
  • Supporting human resource functions, including employee benefits, hiring processes, new employee onboarding, performance reviews, and internal events.
  • Collaborating with our IT provider as needed to coordinate phones, computers, and systems for all Associates, including setting up new offices in expansion locations.
  • Manage tasks associated with governance, risk management, and compliance.
  • Filing required operational documentation with local, state, and federal agencies.
  • Training other Associates on general office systems to ensure consistency and quality control.
  • Managing weekly staff status meetings as well as monthly and annual staff events.
  • Provide logistical support for fundraising and other events.
  • Manage the general phone line and email inbox for the organization.

Ideal candidate will possess:

  • Detail-oriented and highly organized with an efficient and organized approach to managing projects and information systems
  • A strong, entrepreneurial work ethic
  • Strong Salesforce and Excel experience
  • 5+ years of work experience
  • A Bachelor’s degree from a four-year college or university is mandatory

Compensation

$50,000 – 60,000 depending on experience
