Full Job Description

Position Summary 

As Scout’s Office Coordinator, you are someone who finds joy in service. Core elements of the Office Coordinator Position revolve around the Scout Community. As Scout’s Office Coordinator you will foster the current community at Scout and work to enhance our community through companywide initiatives. You are nurturing, understanding, and patient while maintaining efficiency. You understand how to prioritize tasks and allocate time effectively. Your influence on Scout’s Boulder office will play a pivotal role in our day-to-day success. You will assist in streamlining office operations to ensure an environment that fosters productivity. You will be responsible for office supply organization and office maintenance. Additionally, you will assist staff with requests for materials and provide support to members of our leadership team. 

You will have a critical position regarding employee onboarding (ordering IT equipment, distributing IT equipment, answering questions, etc.). You will provide follow-up support as additional questions arise. You will use knowledge about inventory to inform allocation decisions. You will ensure that employee requests are promptly completed.  

Attention to detail, initiative and resilience are key performance characteristics for success in this role. Your positive attitude under pressure is imperative, as it will help foster the Scout Clean Energy team to listen, respect, and follow guidance from administrative support team members. Collaboration and communication are also integral components of this role. Both will help you develop necessary rapport with coworkers as you use influence rather than authority to achieve goals. The ability to ask for help courteously when needed is also a necessity in this role. Teamwork makes the dream work! 

You will report to the assistant to the executive team, who directly supports organizational operations. The assistant to the executive team will support your onboarding into this role, helping you understand and execute established company procedures, which you can enhance over time with your unique skillset.  You will also assist our assistant to the executive team in completing tasks for members of our VP team (booking dinner, travel, etc.). 

Responsibilities

As our Office Coordinator, you have a wide range of duties that combine operational and cultural concerns. 

Community Building 

  • Support planning of team building, project site celebrations, and other events under the assistant to the executive team’s guidance 
  • Implement team recognition and appreciation programs.  
  • Create staff appreciation initiatives (focusing specifically on personal recognition).

Employee Onboarding:  

Welcoming and onboarding new hires is a central task for the Office Coordinator position, as you set a positive tone for their experience at Scout. It is your job to aid in seamlessly incorporating new hires into the existing Scout community. Your role in the onboarding process includes the following:  

  • Order and prepare new hires’ computers and other IT equipment.  
  • Distributing and delivering equipment (e.g., computers and monitors) to assigned desks.  
  • Assist with new employee desk setup and organization on their first day of work.  
  • Coordinate meetings with other members of the onboarding team.  
  • Provide an office tour that helps new hires access needed supplies and play an active role in our office culture. 

Office Management: 

Contributing positively to the Scout office environment is imperative for our Office Coordinator. You must possess strong skills related to organization and awareness. You will... 

  • Oversee office supply management, which encompasses organizing existing supplies, taking inventory, ordering, and restocking supplies.  
  • Oversee supply management and space utilization in the kitchen.  
  • Maintain cleanliness in the community areas and conference rooms.  
  • Serve as the primary liaison for communications with our janitorial contractor, proactively communicating concerns and tracking periodic cleaning schedules.  
  • Reconcile the office credit card purchases in conjunction with the Accounting team.  
  • Assist in updating, streamlining, and organizing our current CRM. 
  • Serve as the designated point of contact for our landlord on an ongoing basis. 
  • Serve as the main point of contact for safety concerns at the corporate office. 
  • Check and route paper mail, packages, and voice mails to the right people. 

Communication:  

In this role, you are a critical piece of Scout’s administrative team. Communicating effectively is central to completion of your daily responsibilities at Scout. Building relationships and rapport with your coworkers is a necessity, as you will solicit staff input on certain issues and respond to staff questions on a wide range of issues. You will utilize multiple channels of communication (text, chat, phone, email) at the same time on an ongoing basis to interface with staff. Other duties include...

  • Communicate with everyone who enters Scout with courtesy and respect.  
  • Promptly respond to and address the needs of the assistant to the executive team and those of the boarder employee team.  
  • Connect employees with appropriate leadership to address and/or resolve their questions and concerns that fall outside your authority, 
  • Facilitate natural conversations with coworkers  

Office Move 

Our upcoming office move will be a high stress period for Scout as a whole. Previous experience in high stress environments and the ability to work in fast-paced environments will serve you well during this time. Our hiring team envisions that your role will expand to support Scout’s office relocation planning and execution in the second half of 2022:   

  • Coordinate the search for and transition to new office space (e.g., coordinating with real estate brokers and contractors). 
  • Developing and tracking budgets. 
  • Planning and executing the move, including coordinating staff space moves, negotiating with and managing the movers. 
  • Coordinating electrical, internet, A/V and cabling installation. 
  • Procure furniture and other needed equipment. 
  • Completing business licensing, change of address notifications, building contractor coordination, and serving as the tenant-landlord point of contact.  
  • Designing / organizing the new space. 

Timeline and Location 

Scout aims to fill the Office Coordinator position as soon as possible, ideally by August 8th. Later start dates will be considered.  

Our ideal candidate will be able to commute to our Boulder office daily. 

Qualifications and Critical Skills  

The Office Coordinator position is a demanding position that necessitates a motivated candidate who embodies the essential qualities outlined below.  

Qualifications: 

  • High school diploma or equivalent. A college degree is preferred. 
  • 3 years of work experience in a role with similar responsibilities.  
  • Work ethic, interpersonal skills and professionalism.  
  • You must also be able to perform cleaning, moving, and lifting tasks on an ongoing basis.

Compensation 

Target base salary: $48,000-$52,000
