A Week in the Life of a Lotus Employee in this Position
We are looking for someone who is willing to get their hands dirty – to pitch in on all tasks that come up in the course of business. We need you to be flexible and nimble, willing to adapt to the needs of a business in a rapidly evolving market.
Our business model relies on your ability to work independently and as an effective team member, ask good questions at the right time, and self-manage tasks and deadlines with the support of the team. We need you to be resourceful, quickly leveraging the contacts and resources at your disposal in a strategic manner to work through day-to-day challenges.
During the course of a given week, we’ll ask you to employ a broad range of skills. We’ll ask you to use both sides of your brain. Your work will be split between graphic design for internal and project needs and our business development needs. Here’s a snapshot of some of the work that we currently anticipate:
We will rely on you to support marketing, administration, and graphic design for internal and external (i.e. client) needs:
- Lotus Marketing & Office Management
- Support newsletter creation and writing.
- Develop marketing materials and content for Lotus.
- Supporting general office management of Lotus’ in-office workspace.
- Client Needs.
- Create graphically designed, and appealing reports ranging from one page to 100 pages.
- Create infographics.
- Support website development for clients.
- Create beautiful, engaging presentations (PowerPoints, Prezi, etc).
We’ll rely on you to identify, organize, and help respond to upcoming project opportunities:
- Identify Opportunities.
- Conduct research to identify new markets and customer needs.
- Track and identify requests for proposals from various bid software.
- Monitor request for proposal (RFP) opportunities from potential and current clients.
- Organize upcoming project opportunities.
- Lead proposal team assignments and initial proposal management plan.
- Provide regular updates to management, operations, and support staff regarding the proposal process.
- Ensure that proposals are completed on time and meet all requirements.
- Coordinates with the Lotus team to decide on the proposals to go after. Ensures that the Lotus team has the capacity to take on work.
- Organizes the team that will support the proposal writing (specifically the Project Manager of the project).
- Contribute to assigned process improvement initiatives and support implementation.
- Coordinate development of pricing sections with the executive team as appropriate.
- Ensure that the proposal is free of grammar, spelling, and typographical errors.
- Lead the once-monthly business development meetings.
- Work with subs (if applicable).
- If subs are identified for the project, work directly with them to ensure all project proposal materials are collected and provided.
- Develop proposals.
- Reviews proposals for compliance issues.
- Scope projects, collaborating closely with Project Managers.
- Ensure that our client's needs and wants are met.
- Prepares supplementary proposal documents with minimal supervision and ensures proposals are complete before being forwarded to the larger Lotus team.
- Lead interview preparation.
- Create PowerPoints.
Once you help us win projects, we will ask that you support:

- Graphic Design
- Experience in Adobe Creative Suite and Canva.
- Experience in Website design using platforms such as SquareSpace, WordPress, etc.
- Strong typography and layout design skills.
- Communication and Engagement Skills
- Strong writer.
- Excellent communication skills, both written and verbal, and an ability to share complex information in an easily understood format.
- Excellent listening skills and the ability to hear, process, and aggregate input from multiple sources.
- Ability to coordinate and ensure internal team alignment on project status, needs, successes, and potential barriers.
- Proficiency in Microsoft Excel, Word, and the Google Suite (e.g., Docs, Sheets, Forms, et c.).
- Project Management
- Ability to manage multiple projects, people, timelines, and tasks simultaneously with a high level of independence and competence within a fast-paced, complex, innovative environment.
- End-to-end ownership and command of the proposal development process including:
- A) Developing an efficient, standardized process to manage organizational and creative tasks with the goal of improving Lotus’s business development efforts.
- B) Coordinating, reviewing, editing, and writing proposals with input from a variety of internal and external stakeholders.
- Conduct business intelligence: find out what current and future clients want that intersects with Lotus’s interests and capabilities.
- Valid driver’s license and comfort with driving.
Other desirable attributes include:
- Familiarity with the RFI/RFP processes and procedures.
- Experience as a consultant or leading billable or client-based projects.
- Experiences with Miro, Survey Monkey, Zoom, Mentimeter, and other virtual facilitation tools.
- Spoken and written fluency in Spanish.
- Experience with ArcGIS and/or other data visualization platforms.
