BASIC FUNCTIONS
The Customer Care Representative is responsible for ensuring accurate, timely, and efficient order management for all customers. Provides administrative support for our Sales Team.
PRIMARY DUTIES AND RESPONSIBILITIES
Customer Service:
• Enter orders, ensuring accuracy of item codes, case quantities, prices, and shipping dates
• Develops relationship with customers to facilitate PO refinement/changes as needed
• Ensures adherence to customer shelf-life requirements and lead times
• Works closely with Sales Operations Manager to communicate PO discrepancies due to
shorts, shelf-life, lead times, minimums, and/or logistics constraints
• Processes customer POs in inventory management system and production management tool
• Analyzes customer POs by item by ship week by DC to create weekly fulfillment plan
• Works with Sales Operations Manager to allocate inventory as needed
• Strategically picks inventory by lot number/expiration date (mostly FIFO/FEFO) to meet
customer-specific shelf-life requirements and ensure full traceability
• Sends order picks to warehouses for PO fulfillment
• Coordinates with warehouse for fulfillment timing and alignment with freight carrier
• Works closely with Director of Logistics to establish weekly shipping schedule
• Reviews shipment documents (BOL’s) for accuracy and to resolve shipping and inventory discrepancies
• Works with accounting to ensure POs are appropriately billed.
QUALIFICATIONS
• Customer service experience within the meat/food/beverage industry preferred
• Familiarity working across diverse order/inventory management platforms and systems
• Understanding of nuanced customer service
• Strong organizational skills to manage multiple tasks simultaneously
• Self-starter who can proactively identify gaps, implement process improvements, and has
exceptional follow-through
• Experienced in spreadsheet management and creation (Microsoft Office/Google suite of tools)
