POSITION SUMMARY:
We’re crawling out of isolation and into the office! With more staff spending time in the office, we are in need of an Office Experience Manager to keep our office humming.
The key function of the role is to support the NSP national office in an administrative capacity. The position entails managing office operations, including those related to staff functions, maintaining office equipment and supplies and helping to onboard new employees. This role also manages the budget for office supplies and staff appreciation functions.
This position will support and liaise with the National Board of Directors and NSP’s standing committees by assisting with board communications including preparing supporting documentation, assisting in coordinating board, division and program meetings and managing the request for action processes and the administrative roster.
You'll use your organization and relationship-building skills to develop strong connections throughout the organization, fostering a culture of smiles and connection. You'll leverage your creativity to develop great experiences for all staff and board members, helping everyone feel connected to our team.
Overall Responsibilities
- Assist the ED and National Program Directors in making travel, transportation and lodging arrangements, event registrations and coordinating the ED’s participation at industry events.
- Communication and coordination with national leadership:
- Prepare meeting packets for the monthly Board meetings
- Prepare minutes for the monthly Board meetings
- Administer the NSP meeting calendar, including the organization of all National Board and national committee meetings on the national calendar
- Maintain and distribute call-in information, packets and minutes as necessary
- Maintain the posting and updating of minutes and packets to the member website
- Log, assign, distribute and post RFAs
- Assist other National Program Directors as needed
- Maintain the NSP Administrative, Program and Committee rosters
- Ensure NSP’s Policies & Procedures and Bylaws are up to date
- Coordinate national Board elections
- Plan logistics for January and Spring in-person Board Meetings and Program Committee Meetings
- Other communication and office duties as assigned
Office Management:
- Working during hours of operation (M-F 8:30am to 4:00pm)
- Manage basic office operations
- Maintain familiarity with each department and assist with inter-departmental communications
- Schedule staff meetings, outings and other gatherings
- Manage new hire onboarding and maintain human resources physical files
- Maintain orderliness of the office, including the ordering of office supplies and ensuring the full function and capability of all equipment, including telephones, voice messaging, printers, and copy equipment.
- Work with staff on projects and additional tasks as needed
- Print awards, certificates and return forms for the NSP store.
- Act as ARO (Alternate Responsible Officer) for the Exchange Visitor Program
What we’re looking for
- 3+ years’ experience in Office Management, preferably working with nonprofit boards of directors.
- Exceptional organizational skills.
- A sense of empowerment to resolve your own problems, make decisions and trust your own good judgment.
- Ability to operate independently.
- A passion for creating the ultimate staff experience; you own the in-office environment and the experience for hybrid and remote staff.
- Impeccable attention to detail.

- An interest in creating the best office aesthetics.

- Passion for, and knowledge of the ski and bike industry, and outdoor recreation industry a plus
- Knowledge of Microsoft Office, Google and Zoom. iMIS and Asana knowledge a plus.

Compensation
- Salary: $45,000-$55,000
