The Grants Manager plays a key role in shepherding the grants and contracts that make our work possible in the states. This position makes sure TIP’s spending happens efficiently, financials are rigorously tracked, legal rules are followed, and that we are learning from our investments. They keep us organized, train other members of the team, and ensure seamless communication with our state and program staff and local partners.
The Grants Manager will report to the Director of Operations. They will work closely with other members of the operations team and programmatic staff. In addition, they will collaborate closely with the Vice President of People and Operations on legal compliance. The position is full time and considered exempt for overtime purposes.

Job Description
What You’ll Do
- Own the grant making and contract processes that ensure dollars flow efficiently to programs in the states.
- Manage the grant and contract process, utilizing feedback from the team to identify efficiencies and systems upgrades.
- Ensure all expenses are coded to the appropriate line item and reconcile our internal grants and contracts coding with monthly financials.
- Provide support to state and program staff by collecting supporting documents from grantees and vendors as needed.
- Drive communications with our fiscal sponsor related to grants and contracts.
- Closely track where expenses are at in the process and drive the timeline for expedited expenses.
- Lead staff training on spending during both onboarding and refreshers throughout the year, crafting training materials that support different learning styles.
- Learn from our investments.
- Design grant reporting and invoicing templates that align with our annual goals and theories of change.
- Compile and package grantee data, working with the Director of Evaluation to identify trends and lessons.
- Be a leader on legal compliance, ensuring TIP’s staff are well trained, guidelines are well packaged, and expenses are structured appropriately.
- Review spending concept notes and proposal materials for legal compliance and identify the path to resolve concerns, flagging when to elevate issues to legal counsel.
- Establish compliance office hours and staff training schedule.
- Participate in all programmatic calls with legal counsel and capture guidance.
- Keep the legal compliance handbook updated and infuse timely tips into staff retreats and internal newsletter.
- Design and provide training for grantees on legal compliance.
- Own process of refreshing state by state compliance memos from legal counsel.
- Provide support on financials, collaborating closely with the Director of Operations.
- Watchdog spending across state and programmatic line items, elevating to the Director of Operations when proposed grants and contracts will exceed budget.
- Process incoming invoices from vendors and ensure the activities reported align with the expected deliverables and compliance rules.
- Make budget changes at the request of the Director of Operation.
- Track dollars that our donor outreach leverages for partner organizations in the states.
Qualifications
Who You Are
You have proven experience supporting fast-moving programmatic work through nimbly processing grants and contracts and rigorously tracking spending and financials for a complex, layered program. You have a firm understanding of the role of 501(c)3 and 501(c)(4) organizations and the legal compliance rules that guide their activities. You will not only be proficient at your own responsibilities, but able to effectively train and guide others in a way that reflects TIP’s core values. In addition, to be successful at this job you will excel in these areas:
● Detail-oriented and organized - You get the details right and can easily keep track of tasks and work streams when there are many moving parts. You are comfortable with spreadsheets and Google suite of software and can help us track and organize our budgets and spending.

What Else You Should Know
The Impact Project operates in a 100% remote work environment. Candidates who live in one of our states or the Washington, DC area are preferred. During non-COVID-19 times, travel will fluctuate, but is likely to be monthly or bimonthly at least initially.
The salary range for this position is $70,000 - $88,750 depending on experience. We offer a top notch benefits package. We pay 100% of medical, dental, and vision premiums for you and your spouse/partner and dependents. The plan operates on low co-pays, versus high deductible plans that require the employee to cover many expenses out of pocket. We contribute 3% toward your retirement even if you don’t put in a dime and also match up to 3% of what you contribute to your 401k. We offer three weeks of vacation each year, two weeks of personal leave, nine paid holidays, and four additional floating holidays. We offer individual budgets for professional development, monthly cell phone reimbursement, and a basic home office setup.
