Essential Duties & Responsibilities:
- Responsible for performing administrative and clerical tasks, meeting coordination and event organization for BVHC’s leadership and for the organization’s Board of Directors.
- Acts as a liaison between the leadership team, Board, and external parties.
- Assists with planning and execution of employee gatherings and team building activities.
- Schedules and approves conference room use and catering for meetings as requested.
- Partners with external consultants to customize and provide staff training.
- Partners with the HR Generalist to coordinate employee events such as staff meetings, staff appreciation or retention activities, new hire welcome emails, and other activities related to staff engagements.
- Provides customer service to employees via telephone and in person, often directing them to the appropriate resources.
- Organizes and distributes anniversary and birthday cards and celebrations for office employees. Coordinates logistics and communications for celebrations.
- Assists the HR Generalist or the leadership team with projects and initiatives, as requested.
- Manages any mail that needs to go out on behalf of the organization; distributes mail received when onsite.
- Coordinates with the organization’s IT provider and serves as the onsite IT coordinator.
- Assists with facilities management, coordinating repairs, installation, and maintenance.
- Responsible for day-to-day facility operations such as maintaining inventory of and ordering office supplies, establishing and implementing office procedures.
- Manages the organizations telephone and security systems.
- Regularly monitors and responds to or distributes communications from the [email protected] email inbox.
- Obtaining and managing COIs.
- Assisting with digitizing deposits and vendor invoices (scanning).
- Administering our LastPass platform.
- Managing and maintaining various logins for the Revenue Cycle Portals (for health insurance).
- Compiles Board Meeting, Leadership Meeting and Board Committee Meeting Agendas and, as needed, prepares any meeting documents. Coordinates all meeting logistics, such as location, Zoom, food, drink, and calendar invitations for Board Meetings, Leadership Meetings, and Board Committee Meetings. Takes meeting minutes for all Board, Leadership, and Board Committee Meetings.

Job Qualifications:
Required Knowledge, Skills, & Abilities
- Strong commitment to reproductive health and justice.
- Effective communicator whether written or verbal.
- Working knowledge of Microsoft Suite and excellent knowledge of Excel.
- Requires strong organizational and analytical skills to handle multiple projects and deadlines, and to prioritize appropriately.
- Requires strong oral and written communication skills in order to interact effectively with a wide variety of people.
- Requires high degree of professionalism and strict adherence to confidentiality and other organizational policies.
- Excellent interpersonal and customer service skills.
- Excellent attention to detail and accuracy.
Experience
- 3+ years’ experience as an administrative/executive assistant, preferably with some senior executive reporting.
- 2+ years coordinating logistics for events for individuals in senior leadership roles.
