 Position Available: Executive Assistant

Ocean First Institute is a nonprofit organization based in Boulder, Colorado with a research center in Key Largo, FL. Our mission is ocean conservation through research and education. We work to protect the ocean and imperiled species through scientific research, while also educating individuals to take positive action for the environment through community projects and outreach programs. Founded in 2014, Ocean First Institute has reached more than 350,000 students through its outreach programs, released over 2,000 Colorado endangered fish back into the wild and received international, national, and regional awards for our collaborative conservation projects.

Position Summary

The Executive Assistant is responsible for supporting the Executive Director and must be experienced in handling a wide range of administrative and executive support related tasks with the ability to work independently with little supervision. Overall, they will enhance the Executive Directors effectiveness by supporting a wide array of supportive tasks. Activities include managing paperwork, coordinating meetings, preparing reports and other confidential materials, arranging travel, managing expenses, banking, and budgets, writing and editing, social media and marketing. They must be highly organized, flexible, and embrace the administrative challenges of supporting several diverse programs. This position requires the ability to interact with staff in a fast-paced environment, sometimes under pressure, while remaining proactive, resourceful, and efficient with a high level of professionalism and confidentiality. Expert level of written and verbal communication skills, strong decision making and attention to detail are equally important. They must be a highly motivated team player who is friendly, goal oriented and driven. The position is part time and hours are flexible (10-20 hours per week).

Essential Duties and Responsibilities

  • Produce information by transcribing, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Conserve executive’s time by reading, researching, and routing correspondences, drafting letters and documents, collecting and analyzing information, and initiating telecommunications
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, videoconferences, agendas and travel
  • Represent the executive by attending meetings in the executive’s absence; speaking for the executive as appropriate
  • Complete projects in a timely manner
  • Prepare reports by collecting and analyzing information
  • Provide historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
  • Project management

Minimum Qualifications (Knowledge, Skills, Abilities)

  • Exceptional people skills
  • A Baccalaureate Degree from an accredited university or college
  • 5+ years working as a personal or executive assistant
  • Skilled at Microsoft Office & Google Platforms
  • Friendly personality
  • Strong communication and organization skills
  • Reliable & trustworthy
  • Willingness to engage in continuous learning and training
  • Passion for ocean conservation and education
  • Must be able to work a flexible schedule
  • Position is remote, but will meet executive director in person regularly

Compensation

Range is $20-$25 per hour and is commensurate with experience and qualifications.

Travel

Some local and domestic travel may be required.
